Privacy Policy

1. Overview

PrintMan ("we", "us", "our") operates a self-service printing platform. This policy explains what information we collect, how we use it, and how your documents flow through our system.

Data flow: Your device → PrintMan backend server → the printer at the kiosk location. The last step takes one of two routes, depending on how that particular printer is set up: either through the Epson Connect API v2 (a third-party cloud service), or directly to a print agent we operate on the shop's own network, in which case no third party handles your document.

2. Information collected

2.1 Contact information

• Phone number (used for OTP-based authentication)
• No name, email, or address is required for printing

2.2 Uploaded documents

• The file you upload (PDF, JPEG, or PNG) for printing
• Print settings you select (paper size, colour mode, copies)

2.3 Payment information

• Transaction records: amount, date, status, payment method
• Razorpay payment IDs and order IDs (for refund processing)
• We do not store card numbers, UPI PINs, or bank account details — these are handled entirely by Razorpay

2.4 Technical and usage data

• Printer used, pages printed, job status
• Server-side logs (timestamps, error messages, job IDs)
• We do not use analytics cookies or third-party trackers on the print interface

3. Purpose of processing

We process your information solely for the following purposes:

• Authenticating you via OTP to your account
• Transmitting your document to the selected printer
• Collecting and verifying payment for the print job
• Providing refunds and customer support when a job fails
• Monitoring printer status and system health

4. Uploaded documents — handling and deletion

Uploaded documents are temporarily processed for the purpose of completing the print request and are deleted after successful submission to the printer, subject to temporary technical processing, failed-job handling, logs, backups, or legal requirements.

Specifically:

• Your document is received by our server, processed (format conversion, watermark, page extraction), and sent to the printer — either through Epson Connect, or directly to a print agent we operate on the shop's own network, depending on how that printer is configured
• The temporary file on our server is deleted programmatically once the printer has accepted the job, by whichever of those routes was used
• We do not intentionally retain the document content after this point
• In the event of a failed print job, error logs may reference the file name and job metadata (but not the document content) for support purposes

We do not claim that documents are never accessible to PrintMan personnel. During the brief processing window, documents exist on our server in unencrypted form and could theoretically be accessed by system administrators for debugging. We do not routinely access uploaded documents and have no commercial interest in their content.

5. How your document reaches the printer

Depending on how a particular printer is set up, your document reaches it by one of two routes: through Epson Connect, a third-party cloud service operated by Seiko Epson Corporation; or directly from our server to a print agent we operate on the shop's own network. Where the on-site agent is used, no third party handles your document at any point.

Where the job is sent via Epson Connect, the following applies:

PrintMan uses the Epson Connect API to transmit eligible print jobs to selected Epson Connect-enabled printers.

Epson Connect is a third-party service operated by Seiko Epson Corporation. Your use of PrintMan may involve the transmission of your document through Epson Connect after you submit a print request.

PrintMan is responsible for providing and supporting the PrintMan application, payment process, customer support, and print-job workflow. Epson is not the provider of the PrintMan application and does not provide customer support for PrintMan's application, pricing, refunds, kiosk operation, or business services.

Epson Connect may be unavailable, delayed, interrupted, or unable to print a document because of printer status, network conditions, file format, service limitations, maintenance, or other technical reasons. Print output may differ from what you expect.

Epson may modify, suspend, restrict, or discontinue Epson Connect or related functionality. PrintMan will try to communicate material service issues where reasonably possible, but PrintMan cannot guarantee uninterrupted availability of Epson Connect.

6. Acceptable use

You agree not to use PrintMan to upload or print unlawful, infringing, abusive, harmful, obscene, fraudulent, or otherwise prohibited content. You are responsible for ensuring that you have the right to print and use the document you submit.

This applies to every print you make through PrintMan, whichever printer you use and whichever route your document takes to reach it.

7. Technical logs and failed-print handling

• Server logs record job IDs, timestamps, printer IDs, file names (not content), error messages, and payment status
• Logs are retained for operational and support purposes
• If a print job fails, we retain the job metadata to process refunds and investigate issues
• We do not retain the document file content after the print pipeline completes (whether successful or failed)

8. Customer support access

When you contact us for support (via WhatsApp, email, or phone), we may access your account information, transaction history, and job records to diagnose and resolve your issue. We do not have access to previously uploaded documents as they are deleted after processing.

9. Security safeguards

• HTTPS encryption for all data in transit between your device and our server
• JWT-based authentication with token expiry
• OTP verification with rate limiting and lockout protection
• Uploaded files deleted from the server after print submission
• Admin access protected by PIN authentication
• Payment credentials (Razorpay keys, API secrets) stored server-side only and never exposed to clients

No system is perfectly secure. We take reasonable precautions appropriate to the nature of the data we handle, but cannot guarantee absolute security.

10. Third-party service providers

• Epson Connect (Seiko Epson Corporation) — cloud print delivery, for printers configured to use it. Printers driven by our own on-site print agent do not involve this or any other third party.
• Razorpay — payment processing (cards, UPI, netbanking)
• Fast2SMS — OTP delivery via SMS
• Resend — transactional email (lead-gen form notifications)

Each provider has its own privacy policy and data handling practices. We share only the minimum data required for each service to function.

11. Refund and failed-print support

If a print job fails after payment, we offer refunds or coupon credits. To process a refund, we access your payment record and job status. See our Refund Policy for details.

12. Data retention

• Documents: Deleted immediately after print submission
• Account data: Retained while your account is active
• Transaction records: Retained for accounting and refund purposes
• Server logs: Retained for operational purposes

15. Changes to this policy
